GENERAL INFORMATION
- The event dates for Dance Camp Wales 2024 are from Tuesday 23rd July to Saturday 3rd August 2024.
- The site opens at 8am Tuesday 23rd July and all members must leave the site by 12pm on Saturday 3rd August 2024.
- The purchase of memberships beyond the membership launch date, 1st January 2024, of Dance Camp Wales 2024 constitutes an acceptance by the purchaser and entrants of these terms and conditions, and an undertaking on the part of membership holders to observe them.
- In the event of any breach of these terms & conditions, Dance Camp Wales reserves the right, to cancel memberships, refuse admission, remove the holder, or confiscate offending articles. Dance Camp Wales reserves the right to refuse admission, charge additional surcharges if the incorrect membership has been purchased, and may conduct security searches of persons and belongings, on entry to the event, to meet our duty of care and licensing conditions.
- Dance Camp Wales reserves the right to cancel memberships purchased for any reason.
MEMBERSHIPS & TYPES
- All memberships are sold subject to availability.
- Memberships are confirmed via email.
- If there is a change of email address after your membership purchase, it is your responsibility to update your account details.
- All entrants to Dance Camp Wales 2024 must be within the correct age bracket of memberships on the opening date of camp (23rd July 2024).
Adult and Young Adult Memberships:
Adult 26 years+
Young Adult 18 to 25 years
- All adult memberships for Dance Camp Wales are sold with deposit options available.
- Contact details must be provided. An email address, phone number and name for every adult attending is required.
- Once you have entered your “names on memberships” all details are editable by logging into your account. All details must be checked and regularly updated.
Child & Teen Memberships:
Teen 13 to 17 years
Child 3 to 12 years
Infant 0 to 2 years
Deposit Memberships:
- Deposit plans are available on all types of memberships.
- All Deposit plan memberships are sold as non-refundable memberships due to the administration costs involved. Terms and conditions apply, please read carefully before purchasing.
- You will be sent your reminder email a week before the final payment is due. It is your responsibility to keep your email address up to date and check all your inboxes including spam folders.
- If you miss a deposit payment for any reason you will be sent an email alerting you. You then have until 48 hours before the next payment is due to make the missed payment.
Unfortunately, if you are unable to do this your membership(s) will be invalid and all payments up to that point will be lost.
All age conditions, on all membership types, apply to the day of opening of Dance Camp Wales, not the date of membership purchase.
Photographic proof of identification may be required.
Admission may be refused, or surcharges applied, if you arrive at camp and claim memberships of the wrong age bracket for the holder.
- Teen memberships are valid for ages 13 to 17 inclusive ONLY. The lead adult purchaser is the assumed guardian and responsible adult for any under-18s they purchase memberships for. Proof of age will be required at the gate on entry – see below for accepted ID.
- Teen memberships may only be purchased with, or in addition to an existing order of adult memberships, by an adult of 25 years or older.
- A maximum of two Teen tickets and three minors (persons under 18) per qualifying adult may be purchased.
- All Teens must be accompanied by their associated guardian upon entry to the camp.
- Child memberships are valid for ages 3 to 12 inclusive. The lead adult purchaser is the assumed legal guardian and responsible adult for any under-18s they purchase memberships for. Proof of age may be required on entry – see below for accepted ID.
- Child memberships may only be purchased with or in addition to an existing order of adult or Younge Adult memberships.
- All children must be accompanied by their associated legal guardian upon entry to the camp.
- Infant memberships are free of charge and valid for ages 0 – 2 years inclusive.
- Infant memberships must be booked and registered in advance.
In the case of Teen, Child and Infant memberships, the minor’s name and emergency contact should be entered, but it is acceptable for parents/legal guardians on site to use their own.
Loco Parentis:
- In case of emergency, we need to ensure that we can care for under-18s in their best interests and that may require us to take action immediately, for example, medical treatment for a minor.
- Treatment may require permission from a legal guardian. It is the lead membership purchaser’s responsibility for all memberships purchased for those aged under 18, to ensure that a person is identified as the responsible adult via the membership system. This is done by associating the responsible adult for each under 18 membership in the order, during the process of adding names and contact information to memberships, and the responsible guardian must:
be ‘loco parentis’ for that child whilst at the camp (this means they are legally entitled to make decisions for that child) in emergencies, have been permitted by the legal guardian of the child to act as loco parentis, be available throughout the camp on the phone number provided on the membership system. - You agree to these conditions as part of the membership buying process.
Membership Payment
- You can pay via Direct Bank Transfer or PayPal using your account or your card details if you do not own an account.
- Full payment when booking is appreciated. Otherwise, a deposit of 40% is required with full payment settled 30 days before arrival day.
- The remaining payment will be invoiced via email.
- You can pay the remaining credit via Bank Transfer or PayPal.
- Cancellations are accepted with a full refund less any PayPal fees up to 30 days before arrival day.
ONSITE PAYMENTS
At the camp, the cafe and shop will accept cash and contactless card payments.
CANCELLATION AND REFUNDS
- Although we will do our best to keep you informed of any cancellations, it is the membership holders’ responsibility to establish whether camp has been cancelled and the date and time of any rearrangement.
In the event of the unforeseen cancellation of Dance Camp Wales, memberships may be transferable to a future event. - Under normal circumstances, all Dance Camp Wales memberships are refundable up to 4 weeks ahead of the arrival date of camp, except those expressly sold as non-refundable (ie – Deposit type memberships), or becoming non-refundable under circumstances specified in these terms and conditions.
- Refunds within 4 weeks of arrival date of camp are discretionary and Dance Camp Wales reserves the right to refuse.
If an event of Force Majeure occurs, which is outside the reasonable control of Dance Camp Wales, Dance Camp Wales shall notify the membership holders specifying the nature, cause and likely effect of the Force Majeure event.
Dance Camp Wales will not be deemed to be in breach of this Agreement (including cancelling the event) where such breach or failure to perform is as a result of a Force Majeure event.
Definition of Force Majeure:
- Any factor that hinders Dance Camp Wales from organizing or executing the event, whether in whole or in part, or prevents access to the campgrounds. This includes situations such as the unavailability of the campgrounds or actions and omissions by the camp owner.
- The occurrence of the following events, or the presence of a genuine likelihood or substantial threat of their occurrence: any other event, action, statute, rule, regulation, or decree by any government or legally constituted authority; non-occurrence, omission, or accident (including, but not limited to, fire, explosion, storm, flood, earthquake, subsidence, epidemic, or other natural disasters, acts of God, war, whether declared or not, the threat of or preparation for war, terrorist activities, failure of public utilities, or civil commotion); royal demise—each of which is beyond the reasonable control of Dance Camp Wales.
SITE RULES
Site rules apply to all areas including the car park and camper van area.
They also include any published information (via email or on the website), personal conduct guidance i.e. acceptable noise levels and management of waste.
- We reserve the right to eject individuals or groups, for the contravention of these site rules, or any reason whatsoever at the discretion of the Core Group.
- A valid membership in an individual’s name, corresponding to the correct associated wristband must be worn by all public and crew.
- Anti-social, abusive, violent, threatening or predatory behaviour will not be tolerated. Eviction is at the discretion of the core group.
- Dance Camp Wales has a no-drugs policy and reserves the right to search and eject anyone suspected of taking illegal substances or infringement of this policy. Our eviction policy also includes the use of nitrous oxide.
- Any form of criminality will result in eviction, and reporting to the police and any other relevant authorities. This includes theft and criminal damage, such as tagging or vandalism on site.
- Smoking is not permitted in enclosed public spaces or buildings including toilets, tents, domes or any structure. This includes e-cigs and vapes.
- Fires are not permitted in the car park and camper van areas.
- Animals may not be brought anywhere on site including the car park area. (Registered assistance animals are an exception to this rule).
- The use of drones or similar equipment for any reason is prohibited on or near the event without written permission from Dance Camp Wales.
Items which you cannot bring to camp:
- Non-personal or excessive amounts of alcohol. No bulk items e.g. cases or slabs of cans and keg dispense allowed.
- Any items with an intention to retail. Except for items for sale on Market Day only.
- Weapons
- Sound systems, PA, lighting, projection or special effects equipment.
- Body piercing or tattoo equipment
- Candle flares
- Floating sky lanterns
- Fireworks
- Craft glitter
- Generators
- Lasers
- Drones or other airborne apparatus
- Gas bottles larger than 2.75 kg
- Items may be confiscated at the discretion of Dance Camp Wales.
ALCOHOL CONSUMPTION
Alcohol consumption is strictly restricted to within your camp circle boundary.
A message to you as a parent or guardian from the Core Group on Alcohol Consumption at Dance Camp Wales:
Each year we are asked to address issues or problems from the year before and alcohol use has been a recurring theme. Binge drinking or alcohol abuse is a national problem that is getting out of hand and the general tolerance of higher levels of consumption has encouraged a steady increase at camp. We have never tried to ban alcohol but rather encourage self-control and consideration for others while restricting drinking to circles rather than wandering around the camp or in any of the domes.
A specific problem is young people obtaining alcohol from older friends or adults. We would like to draw attention to the fact that it is against the law to buy alcohol on behalf of someone under 18. Parents can give alcohol to their children, but every parent has a different idea of the amount and suitable age, and you need to be sure that what you give to your child doesn’t get handed on, or that the bottles left in your circle aren’t being appropriated by someone under 18.
There is also a much wider picture to consider. At camp, we are trying to experience a different way of being. We attempt to find a deeper understanding of ourselves and to tune in to the subtle and the sacred. As someone once said, ‘We are picking up the threads of a lifestyle which is tuned to the heart, sharing and caring, consciously reconnecting with spirit... offering an affirming environment in which to grow.’ The effects of alcohol get in the way of this.
OTHER
- All attendees must adhere to the rules and regulations of Dance Camp Wales.
- Exposure to loud music may cause hearing damage, please bring your ear protection.
- Please be aware that lighting effects including strobe lighting may be used.
- Dance Camp Wales can accept no responsibility for any personal property. Please do not bring unnecessary valuable items as card payments are available on site.
- You understand and accept that you will be attending Dance Camp Wales and using any facilities on-site at your own risk.
- We store your data when purchasing memberships. This data will be treated under GDPR and our Privacy Statement. We will not, unless we are legally compelled, release personal data to any third party. We may contact you with Dance Camp Wales news and information.
- Terms and conditions are subject to change at any time. We encourage you to review regularly for any changes.
- All of these terms and conditions are governed by British law.
- Disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the British courts.
- Membership payment includes one year's membership of Dance Camp Wales, with admission to all workshops and facilities.
- Some craft workshops may ask for a contribution towards materials.
THIRD-PARTY SUPPLIERS
Additional services and supplies linked to the camp may be offered by third parties. These are outside of the scope of these terms and conditions, which refer specifically to the memberships on offer through the Dance Camp Wales website's “Buy Memberships” page.
